About the role

The role of the Administrative Assistant is to provide vital clerical and organisational support to ensure the smooth and efficient running of the workplace. Working closely with the wider team, the Administrative Assistant will help maintain office operations, support communication across departments, and uphold key administrative procedures. 

Role Responsibilities

  • Answer and direct telephone calls in a professional manner
  • Organise and schedule appointments and meetings
  • Prepare meeting agendas, take minutes, and distribute notes
  • Maintain filing systems, both electronic and physical
  • Draft correspondence, reports, and other documentation as required
  • Support the onboarding of new staff, including paperwork and scheduling
  • Monitor office supplies and place orders when necessary
  • Handle incoming and outgoing mail and packages
  • Liaise with external contacts including clients, suppliers, and partners
  • Ensure confidentiality and data protection policies are upheld
  • Maintain staff records, calendars, and internal databases
  • Carry out general office duties to support team efficiency

Who We're Looking For

Qualifications & Experience

  • Minimum 1 year’s experience in an administrative or clerical role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong written and verbal communication skills
  • Experience handling confidential documents and data
  • Familiarity with office equipment and basic IT troubleshooting
  • GCSEs (or equivalent) including English and Maths
